A full Outlook calendar, and work to do in between

The calendar shows six meetings. The task list shows fourteen items for today. Neither program tells you that the two together do not fit into one day.

Two programs, no total

If you work with Microsoft 365, your meetings are in Outlook and your tasks in To Do, Planner, a notebook or your head. Outlook knows when you are busy. The task list knows what there is to do. Nobody does the sum in between:

That usually becomes clear at five in the afternoon.

What Aevo does with it

You connect your Microsoft 365 account. Aevo reads the calendar and enters nothing there. Then three things happen:

  1. The meetings appear in a time rail above the board. You see the day without switching windows.
  2. Aevo works out the free time. Working hours minus meetings. Whether tentatively accepted meetings count is a setting.
  3. The board marks what fits. Tasks are ranked by importance. The top ones whose estimates together fit into the free time are outlined.

When a meeting is added at noon, the free time shrinks and the outline moves. A plan that would now be wrong was never written.

More than the calendar comes from Outlook

More honest about time

Estimated is not finished. For past days Aevo compares how much you set out to do with how much you completed, and can shrink the free time by that ratio. If you regularly manage 70 percent, you are shown 70 percent. No time tracking needed.

What you need

The same works with Google Calendar and with any CalDAV calendar: Google Calendar, Microsoft 365 and CalDAV.

Frequently asked questions

Does Aevo write to my Outlook calendar?

No. Aevo reads the meetings and creates nothing there, changes nothing and deletes nothing. Colleagues see nothing of Aevo in your calendar.

Does it work with a company account?

Yes, provided your organisation allows the connection. Aevo is registered with Microsoft as a verified publisher. In some organisations an administrator has to consent to the app once.

Does Aevo see what my meetings are about?

Aevo reads the title, time and status of meetings in order to show them and work out the free time. The data is held in the EU and not passed on. The details are in the privacy notice.

Can I connect several calendars?

Yes, for instance the company calendar through Microsoft 365 and a private one through Google or CalDAV. For each you decide whether its meetings count against the free time.
